We use your personal information throughout the employment relationship that we have with you. This includes a number of different processing activities throughout your employment.

What processing activities do you undertake that include my personal information?

If you have chosen to become a member or ally of an employee network (including, but not limited to, OutLinkUK or ENabled UK), we administer and manage your involvement with these groups.

What categories of personal information are included in these processing activities?

To manage your status, we process Staff related data and Data related to your engagement with the Company.

If you chose to provide your sexual orientation or disability, we will also process this information in connection with your membership of an employee network.

Further, if you choose to provide any further details for the purposes of joining discussions within the relevant employee network, this will also be processed in connection with your membership.

What is the reason for these processing activities?

We use your personal information to manage your involvement with employee networks.

What are the legal grounds you rely on to carry these out?

This processing is necessary for the purpose of the legitimate interests pursued by the Company.

To the extent that you provided us with your sexual orientation or disability information, this is special category information and we will process this only in accordance with your consent.  This will be sought from you separately.

What are the ' legitimate interests' referred to above?

The Company considers that it has a legitimate interest in engaging with its workforce and providing employee networks and special interest groups to employees.

To the extent that you did not get this personal information from me, how did you collect this information?

Some of this personal information will come from internal sources, such as your line management and the HR team (see “Where do you get my personal information from?” in the Overview section).  Any information relating to your sexual orientation or disability will come from you, as will any further details that you share.

Who do you share this personal information with?

Your personal information is shared internally with the  relevant employee network steering committee (as appropriate) only (see “When do you share my personal information with others?” in the Overview section).
