We use your personal information throughout the employment relationship that we have with you. This includes a number of different processing activities throughout your employment.

What processing activities do you undertake that include my personal information?

Your personal information is used to provide and administer your remuneration, benefits and incentive schemes.

This includes:

  • budgeting and forecasting, including setting salary and remuneration eligibility
  • payroll operations and management of taxation
  • operating the Company's share plans, delivering share plan benefits and determining eligibility for awards under the Company’s share plans
  • operating the Company’s pension schemes
  • reimbursement of business costs and expenses
  • making social security deductions and contributions
  • facilitating applications for company credit cards
  • managing and administering the Company's executive fleet of vehicles
What categories of personal information are included in these processing activities?

To manage your pay, benefits and other remuneration, we process Staff related data, Data related to your engagement with the Company, Leave information, Remuneration and benefits data and Financial information.  For fleet management, this also includes information related to the company vehicle.

What is the reason for these processing activities?

We use your personal information to ensure that you are properly compensated and rewarded.

What are the legal grounds you rely on to carry these out?

This processing is necessary to perform the contract between you and the Company.

This processing is necessary for the compliance with legal obligations to which the Company is subject.

This processing is also necessary for the purpose of the legitimate interests pursued by the Company.

What are the ' legitimate interests' referred to above?

The Company considers that it has a legitimate interest in managing its workforce and operating its business.  This includes ensuring that employees are properly remunerated and that this remuneration is set an appropriate level, and also enabling the Company to undertake normal business operations.

To the extent that you did not get this personal information from me, how did you collect this information?

Some personal information will be generated by internal sources, as set out in this Notice (see “Where do you get my personal information from?” in the Overview section).  This will include from Reward, Company Secretariat, HR and your line management.

Some of this personal information will come from governmental authorities (such as tax authorities) and from our benefit providers and scheme administrators.  We may receive information from other sources as set out in this Notice (see “Where do you get my personal information from?” in the Overview section).

Who do you share this personal information with?

Your personal information is shared internally, as set out in this Notice (see “When do you share my personal information with others?” in the Overview section).  This would usually include Reward, Company Secretariat, HR and your line management.

In addition, some of your personal information will be shared with benefit providers, vehicle lease suppliers, governmental authorities (such as tax authorities), our benefit providers and scheme administrators and as otherwise set out in this Notice (see “When do you share my personal information with others?”, in the Overview section).
