Before you provide information relating to your family and dependants to the Company, you must first inform them of the details set out in this Notice. This is to ensure that they understand what information you intend to provide to us, the processing activities that we will undertake and the purpose for the same.
Please note that in some cases and in some jurisdictions, we may provide medical, housing, schooling and other services to your family. If this is the case, we may seek their consent to any associated processing of the information. This will be captured separately. Otherwise, the processing that we undertake of your family's information is set out below.
This Notice should be read in conjunction with the Overview and the Definitions, including, in particular, the table of categories of information.
Relocation and immigration
What processing activities do you undertake that include my family’s information?
If you take on an overseas assignment, we may process the information of your family in order to assist them to relocate to accompany you. This may include assistance with the appropriate visa and immigration requirements, as well as appropriate travel and other relocation support.
What categories of information are included in these processing activities?
Depending on which jurisdiction you will be relocating to, we may process your family's identity information, contact information and immigration information.
We may also need to process sensitive information consisting of your family member’s religion, health and medical information and information regarding their race/ethnicity.
What is the reason for these processing activities?
We undertake this activity in order to allow your family to relocate with you and to comply with all immigration law obligations whether in Australia or otherwise.
We may need to process your sensitive information in order to carrying out our employment law obligations to the extent that the processing is required to comply with Australian obligations.
Where the immigration requirements are outside of Australia, this processing is necessary for us to comply with immigration and other laws applicable in your home or destination country.
To the extent that you did not get this information from me, how did you collect it?
The results of any required medical review or criminal records checks will come from the Company's external suppliers and partners.
We may also receive information directly from your family and from other sources as set out in this Notice.
Who do you share this information with?
This information may be shared internally for the purposes described above.
In addition, some information will be shared externally with government agencies, partners, customers and suppliers and as otherwise set out in this Notice.
In particular, our corporate travel management supplier will need to process your family’s information to make their travel arrangements, and governments of the country/countries they will visit will receive their information for immigration purposes.
